Set up and manage locations

Setting up your locations is the first step to getting the most out of Halaxy. Based on your practice hours at each location, Halaxy automatically determines the location where an appointment is taking place and chooses the right invoice and reminder templates for you, so you can focus on treating patients.

Is your practice new to Halaxy? Your business details are required for getting your practitioner profile verified.

Overview

You can view your locations and practice hours by clicking Personal > Locations. When you sign up to Halaxy, you'll already be provided with your first location.

Each location is listed as a separate tab that can be expanded or collapsed. Within each location, all the practitioners who have been added to that location are also shown, along with their practice hours.

In this Locations page, you can:

Add a new location

  1. On the sidebar, click Personal > Locations.

  2. On the top right, click Add Location. (Your first location is already provided when you sign up. Click Edit beside the location name to continue setting it up.)

  3. In the pop-up, enter the business details of your practice location. Note the following:

    • ABN: If you have multiple practitioners at your location, they can use the group’s ABN but you can also enter their own individual ABN.

    • Open Hours Colour: This sets the background colour in your calendar during your operating hours. It's recommended to use light-shaded colours for this.

    • Practitioners: Select the practitioners from your practice group who will be practising at this location. (This field is available when you add a new location, but not when you're editing an existing location.)

    • Phone Numbers: If you have multiple practitioners at your location, you can add their individual contact numbers. To add a phone number for the whole practice location, do not select a practitioner.

  4. Click Save.

Your first location is now set up and ready for you to add practice hours.

To assign additional practitioners to this location, click Add Practitioner.

Tip

If you practice at multiple locations, you need to provide your identification at each location – but you can do this in one go! Click Finances > Fees, then select the Identifications tab. In the top right, click Edit. Add your identification or provider number for the relevant funder under each location column. Click Save when finished.

Add a location description

When your profile is verified, your locations can be added to Halaxy's online directory. You can add a description to your location to give patients and professional contacts additional information on your practice.

  1. Click Personal > Locations.

  2. For the location you wish to edit, under the Online Directory section, click the Icon-Edit.svg pencil icon.

  3. Enter your location description.

  4. Click Save.

Add a location logo

A logo can help patients and professional contacts identify your practice. You can even upload a different logo for each location.

  1. Click Personal > Locations.

  2. For the relevant location, click the Icon-Camera.svg camera icon.

  3. In the pop-up, click Upload File to select an image from your computer, or click and drag an image into the box. (We recommend uploading an image in square dimensions. JPG, JPEG and PNG files are accepted.)

  4. Click Save.
