Intro to clinical templates and tools

Every practice documents patient clinical history differently through a variety of formats - notes, questionnaires, letters, reports, forms. In Halaxy, all of these are recorded as clinical notes. If your practice requires or regularly uses certain formats, Halaxy offers clinical templates to standardise and speed up your clinical work.

In Halaxy, there are two kinds of clinical templates: clinical note templates and clinical tools.

This table below explains their differences and what they are used for.

Use a clinical template in your clinical notes

  1. Create or open a clinical note for a patient.

  2. In the template editor, click the Templates button.

  3. In the pop-up, you'll find a list of clinical templates available to you. To preview a template's contents, click the arrow beside its name to toggle open a preview. You can also use the search bar to find a specific template.

  4. To use a template, click the template name.

A clinical note template populates the contents of the template editor.

A clinical tool replaces the clinical note entirely, ready to be completed. For clinical tools with scoring, publish the clinical note to calculate the score.

If you selected a template from Halaxy's library, it is saved to your group templates.

If you can't find an existing template for your purposes, you can create your own clinical note template or create your own clinical tool.

Manage your clinical templates

To access and manage your clinical templates, click Settings > Clinical.

The clinical templates page contains the following:

  1. Your group templates: Every template you create or import appears on the left panel, available for use for anyone in your practice group.

  2. Template details: When you select one of your group templates, its details appear on the right panel, which includes the template status, description and (optional) category. You also have the following options:

    • To preview the template, click the Icon-Preview.svg preview icon.

    • To edit the template, click the Icon-Edit.svg edit icon.

    • To create a copy of the template, click the Icon-Copy.svg copy icon, with the option to assign it to a practitioner.

    • To delete the template, click the Icon-Bin.svg trash icon.

    • Attach a file to the template, which will be linked to the template each time you use it.

    • Link a referral type or fee to the template, which automatically uses the template whenever you create an appointment using the referral type or fee

  3. Available template features: These tabs contain other template-related features you can use in your practice:

    • Questions: This tab is where you create reusable questions that can be added to multiple clinical tools (e.g. forms and questionnaires). Data collected from the Questions feature can be tracked using the Dashboard.

    • Favourites: This tab is where you bookmark your most frequently used templates and organise them according to groups. Your Favourites appear on a side panel in your clinical notes.

    • Dashboard: This tab is where you set up your clinical dashboard to track patient health data, based on answers collected from the Questions feature. You can create a standard dashboard for your entire practice group, but individual practitioners can also set up their own dashboards.

    • Data sets: This tab is where you set up reusable sets of answers that can be used for the Questions feature. For example: a scale of 1 to 10 for questionnaires.

    • Drugs: This tab is where you add custom records of drugs that are currently not available in the PBS or Private prescription database. Adding custom drugs to your practice eliminates the repetitive task having to manually enter their details every time you prescribe.

    • Snippets: This tab is where you add reusable content that you can quickly insert in clinical notes or clinical note templates.

  4. New template button: Click this button to import or create your own clinical note template or clinical tool.
