How do I book a room or equipment for an appointment?

Create an appointment as usual, but in the Appointment Details section, select the specific room from the Location dropdown and the required equipment in the Equipment dropdown. To do this, you must have rooms and/or equipment added to your location already.

Can I change details on past appointments?

Yes. You can change the appointment time, duration, location, and other details for past appointments. To do this, simply edit the appointment and save your changes. Note that this will also change the details on the appointment invoice.

How do I change which practitioner saw a patient?

Edit the appointment and select the correct practitioner from the Practitioner dropdown. Then click Save.

This automatically updates all the relevant fields where the practitioner's name appears, including in clinical notes and invoices.

How do I record that the patient didn’t show up for their appointment?

  1. From the calendar, open the appointment.

  2. In the Appointment Details section, click the Icon-X.svg X icon and select Non-Attendance.

This cancels the appointment but retains an invoice and allows you to charge the patient for the missed appointment, reducing the impact of no-shows.

How do I add or change my practice hours on my calendar?

Practice hours are set for each individual practitioner under the location. To change your location hours:

  1. Click Personal > Locations.

  2. Under the relevant location, under your practitioner name, click Add Another Schedule or the Icon-Edit.svg pencil icon.

How do I book a recurring appointment without generating an invoice?

Set up repeat appointments but do not add a fee. This creates the series of appointments but does not generate an invoice. If you want to create an invoice for an individual appointment from the series, edit the appointment and when you save your changes, apply the changes only to that appointment.

How do I change the default location for appointments?

If you want to have one default location for all appointments for a location, set your Default Appointment Location in your scheduled hours.

If you want to have a specific default location for specific services, set the Default Appointment Location for fees or appointment types.

How do I delete an appointment after the invoice has been sent?

You will need to delete the invoice first to unlink it from the appointment. Open the invoice and in the top right, click Delete. When the invoice is deleted, you can then delete the appointment.

How do I charge no-shows / patients who did not attend their booked appointments?

  1. Cancel the appointment and select Non-attendance. This allows you to keep the invoice.

  2. Open the invoice. You can find it in Finances > Invoices, or the patient's invoice list in their profile.
