Whenever you email an invoice, you can include a secure payment link that the recipient (patient or organisation) can click to quickly pay using card payment or Paypal. It’s a handy tool to make payments convenient for both recipients and practitioners.

This payment link can be added by using dynamic terms in an email communication template or in the default invoice email.

To streamline this process further, you can similarly add the secure payment link to invoice email templates, saving you more time from having to add the link every time you send an email. To do this, see the following sections below.

Add a payment link to an email communication template

Whenever you manually email an individual invoice or automatically email an invoice on its due date, you can select an email communication template to send.

To add a secure payment link to an email communication template, follow the steps below.

  1. Click Settings > General.

  2. Under the Clinical Settings section, next to Communication templates, click the Icon-Edit.svg Edit icon.

  3. If you already have an invoice email communication template, click on it. If not, click Add Email.

  4. Give your template a title and fill out the fields as required.

  5. In the Content field:

    • Add the text for the body of your template.

    • Place the cursor where you want to add the payment link.

    • In the toolbar, click Dynamic Terms and select Payment Link.

  6. Click Submit.

Add a payment link to default invoice emails

Instead of having to select an email communication template every time you manually send an individual email, you can opt to add the payment link to the body text of default invoice emails.

To add a secure payment link to default invoice emails, follow the steps below.

  1. Click Settings > Reminders.

  2. Select the group or practitioner you want to edit the invoice email for.

  3. Under the Copy section, next to Email Invoice – Patient or Email Invoice – Organisation, click the Icon-Edit.svg Edit icon.

  4. Click in the Email Copy field:

    • Place the cursor where you want to add the payment link.

    • In the toolbar, click Dynamic Terms and select Payment Link.

  5. Click Save.

Caution

Invoice automation (automatically emailing paid invoices) makes use of default invoice emails. If it is enabled, the payment link is also included in the email body. Should you wish to use the payment link only for unpaid invoices, it’s recommended that you use an email communication template and add the payment link there instead.
