Report for NDIS bulk upload

To assist with your NDIS billing, Halaxy features an NDIS bulk upload report that can be uploaded to PRODA.

This report shows invoices billed for NDIS funding (i.e. self-funded clients are not included). You can filter the report by organisation if you want to only include invoices billed to a specific organisation, such as the National Disability Insurance Agency.

The NDIS bulk upload report includes the following information:

  • The registration number used for the support (based on your NDIS provider number in the Identifications page)

  • The practitioner

  • The patient

  • NDIS claim number

  • Support dates

  • Support number

  • The claim reference with a link to the invoice

  • Quantity of the support hours claimed under an NDIS funding period

  • Unit price

  • GST code

  • Claim Type (set up via Fee Categories)

  • Cancellation Reason (set up via Group Cancellation Reasons)

Note

If the paying organisation changes for a patient, you should archive the patient's NDIS claim in their Funding tab and use a new claim.

For total convenience, process your NDIS claims straight from any NDIS invoice using Halaxy's integration with HICAPS Digital Claims.

Run an NDIS bulk upload report

  1. Click Reports > Finance.

  2. On the top right, click New Report.

  3. For Report Type, select NDIS Bulk Upload.

  4. (Optional) To limit the report to a specific organisation (such as the National Disability Insurance Agency), select it in the Organisation field.

  5. (Optional) Set any other filters as needed.

  6. Click Run.

The report generates a list of NDIS invoices.

In the top right, you can use the Icon-Export.svg square with arrow icon to download the report as a CSV file.

Set up NDIS claim types and cancellation reason codes

To comply with claiming requirements, bulk upload reports must include the claim type and cancellation reasons (for cancelled appointments). These must be in the accepted 4-letter format.

  • Claim types

    1. Add the NDIS claim types as custom fee categories.

    2. Edit your NDIS fees and assign the appropriate Fee Category (claim type) to them.

    The claim types for fees now display in the NDIS bulk upload report.

  • Cancellation reasons

    1. Add the NDIS cancellation reason codes as custom cancellation reasons.

    2. When you cancel an appointment, make sure to select a cancellation reason in the correct format.

    The cancellation reason code now displays for cancelled appointments in the NDIS bulk upload report.

    Note

    Cancelling an appointment may set the service fee to $0. To remedy this, open the invoice and edit the invoice line with the fee, then simply re-enter the fee name to add it back in, then click Save. The invoice balance should be correct again.
