Guide to linked fees

Who can do this?

All access levels with permission to view Fees & Expenses.

Some fees always occur together. A home visit might involve travel to the patient, the session itself, then travel back. A therapy session might be followed by report writing. Linked fees let you set these relationships up once on a single fee, so booking that one fee creates the whole set for you.

When you book a fee that has linked fees, Halaxy automatically creates an appointment for each linked fee and adds every fee to one invoice, in the order you set. Each fee keeps its own item number and duration, so you can still claim each component separately.

You can also link a cancellation fee to a fee. When the appointment is cancelled, Halaxy offers to swap the fee for you instead of you editing the invoice manually.

Overview

Linked fees are set up on the fee you book most often, the main fee. Every other fee you attach to it is a linked fee, and each link is governed by one rule.

What it does

Add before fee

Creates an appointment for the linked fee immediately before the main appointment, and places the fee above the main fee on the invoice.

Add after fee

Creates an appointment for the linked fee immediately after the main appointment, and places the fee below the main fee on the invoice.

Add cancellation fee

Makes the linked fee available as a replacement when you cancel the main appointment. No extra appointment created.

A main fee can have several linked fees under each rule. For example, a therapy fee might have travel to the patient as a before fee, then report writing and travel back as after fees.

Linked fees always run in the same sequence: before fees, then the main fee, then after fees. Within each rule, fees run in the order they are listed in the Linked Fees section - so in the example above, report writing is billed before travel back.

Note

You do not set the price, duration or tax on the link itself. Each linked fee uses the details already saved for it in your Fees List.

Link a fee to another fee

Set up your links on the fee you will book on the calendar.

  1. Click Finances > Fees.

  2. In the Fees List, click the fee you want to use as the main fee.

  3. Under the Linked Fees section, click Add fee.

  4. In the pop-up, configure the following:

    • For Fee, enter and select the fee you want to link.

    • For Fee Rule, select Add before fee, Add after fee or Add cancellation fee.

  5. Click Save.

The linked fee now appears in the Linked Fees section, showing its item code, name, amount and rule. New fees are added to the end of their rule group.

When you book an appointment with linked fees, the appointment appears on your calendar as a single block, with a band above and below showing how many linked fees are included and how much time they add. Every fee is billed to one invoice, each on its own line.

Important

Changes to linked fees are only saved when you save the main fee. If you add, edit, reorder or remove a linked fee and leave the page without saving, your changes are lost.

Tip

You can link the same fee under more than one rule. Travel to the patient and travel back often share the same item number, so you can add that fee as both a before fee and an after fee.

Edit, reorder or remove a linked fee

  1. Click Finances > Fees.

  2. In the Fees List, click the main fee.

  3. Under the Linked Fees section, find the linked fee you want to change, then in the Actions column:

    • To change the fee or its rule, click the Icon-Edit.svg pencil icon, update the pop-up, then click Save.

    • To move the fee up or down within its rule, click the Icon-Arrow-Up.svg up arrow or Icon-Arrow-Down.svg down arrow.

    • To remove the link, click the Icon-Bin.svg bin icon.

  4. Click Save Fee.

Notes

  • You can only move a linked fee within its own rule. A divider separates before fees, after fees and cancellation fees in the table, and the arrows are unavailable at the top and bottom of each group.

  • Removing a link does not delete the fee. The fee stays in your Fees List, and any invoices it already appears on are unchanged.
