With Halaxy, you can offer both in-person and remote appointments in your online bookings. If you want to make a service available in different channels, you can easily set up your online bookings to accommodate your patients' preferences.
By using appointment types, you don't even have to create separate fees. Whether the patient selects the service for Halaxy Telehealth, phone or in-clinic, you can invoice them for the same consultation fee.
Example of offering a service for both in-clinic or telehealth options
Note
This guide is for setting up hybrid appointment options to be available throughout your practice hours (i.e. any appointment in your day can be in-clinic or telehealth). If you were looking to allocate set hours for specific options (i.e. telehealth in the morning, in-clinic in the afternoon), you can either use appointment types to reserve timeslots, or you can create two different locations with each one dedicated to a specific channel.
Before you begin this guide, these steps must be complete:
When you have completed these steps, follow the instructions below.
In this example, we are setting up a 60-minute consultation fee to be available for in-clinic and telehealth options throughout your practice hours.
-
Step 1: Set up your fee
This is the fee you want to appear on the invoice when the patient books the appointment.
-
On the sidebar, click Finances > Fees.
-
On the top right, click New Fee.
-
Import a preset fee or create your own fee.
-
Amount: Enter the amount you charge for this fee.
-
Fee Visibility: Set to Public.
-
-
Click Save Fee.
You've successfully created the fee. You'll now need to set up appointment types to make this fee available in different channels.
-
-
Step 2: Set up your appointment types
These appointment types set up the fee to be available in different channels and appear on your online bookings page.
-
Click Settings > General.
-
Under the Appointment Settings section, next to Appointment Types List, click View All.
-
In the top right, click New Appointment Type.
-
Set up the telehealth appointment type first. In the pop-up, configure the following settings:
-
Title: Enter the name of this appointment type. This is what the patient selects from your online booking page. (Recommended: Include the channel type in the service name so your appointment is labeled accordingly on the calendar. Example: Standard consultation - online)
-
Allow Online Booking: Select Yes - any bookable appointment time.
-
Online Booking Fee: Select the fee you created earlier. When a patient books this appointment type, the fee appears on their invoice.
-
Appointment Colour / Text Colour (optional): You can assign custom colours for this appointment type to colour-code it on your calendar. (See related article: Guide to calendar colours)
-
Duration: Enter the default duration for this service. This is displayed to patients in your online bookings page.
-
Default Appointment Location: Select Halaxy Telehealth. (If you use external apps for video calls, select Online consultation - see related article: Use external apps for telehealth)
-
-
Click Save.
-
Next, set up the in-clinic appointment type. Repeat steps 3 and 4, but for Default Appointment Location, select In clinic consultation.
-
Click Save.
-
-
Outcome
-
You have successfully set up your service to be available in both telehealth and in-clinic options on your online bookings page. You can repeat this process for other services.
-
When patients book these services, their appointments are automatically colour-coded on your calendar, assigned to the correct locations, and contain the same fee. (Click the images to zoom in.)
