Import your practice data to Halaxy

Thinking of moving your practice to Halaxy? Import your records yourself and get your practice up and running! 


To self import your practice records, all you need to do is:

  1. Export your data from your current practice management software. For assistance, contact the provider’s service team.

  2. Download Halaxy's data import template file. (See Steps 1 to 4 in the next section.)

  3. Transfer your practice data into Halaxy's template file. View our file preparation guide for data importing.

  4. Upload your data file to Halaxy. See instructions below.

Import your practice records

After you have exported your data from your previous practice management software, log in to Halaxy and follow the steps below.

Note: You must import your records by data type to sync them into Halaxy's system.

  1. On the sidebar, click Settings > General.

  2. Under the Data Import section, click Import Your Data.

  3. In the pop-up, select the Data Type of the records you are importing. (Note: We are working to expand this import feature to more data types.)

  4. When the pop-up expands, click the file provided to download the import template provided for your selected data type.

  5. Use your spreadsheet software (e.g. Microsoft Excel, Google Sheets) to transfer your practice data into it. (See our import file preparation guide for how to transfer your practice data.)

  6. After you have transferred your practice data, click Upload File and select your data import file.

    (Note: File imports have a limit of 1000 rows at a time.)

  7. Click Continue. Your data file is reviewed to make sure it is formatted properly for importing and contains all the required fields.

  8. If there is no file error, the next step displays a summary for you to review, which includes:

    • The total number of records found on your file

    • The number of records that will be imported

    • The number of records that will not be imported due to errors listed in a table below (you may export these specific records so you can correct them, then re-upload the amended file)

  9. To proceed, click Import.

When the import completes, all records without errors are imported into your Halaxy and are ready to use. The data import is recorded with a full report in your import list.

Depending on the size of your data file, your import may take some time to complete.


Data import accepts the file types .xls and .xlsx.

Additional actions


Every data file you import is listed in the Data Import section. You can take the following actions with your imports:

  • Download: You can save any file you import by clicking the Icon-Download.svg download icon.

  • View report: To view details and results of previous data imports, click the Icon-Document.svg report icon.

Request a data import

The self-import feature is currently being expanded to include more data types. If the data type you are looking to import is not yet available (such as appointments or referrals), you can upload your data files to request Halaxy to import them for you.

  1. On the sidebar, click Settings > General.

  2. Under the Data Import section, click Import Your Data.

  3. In the Import Data pop-up, click the link I can't find the data type I want to import.

  4. In the next pop-up, click Upload Files and select the data files you want imported. Please note:

    • You may upload your data files in individual spreadsheets. Alternatively, you may also compile them into a .zip file, which you can upload here.

    • Recommended: When your files upload, add a description of the file's contents.

  5. Click Save.

Your files are uploaded and Halaxy is notified of your file upload. A Service Team member will be in touch with you to confirm your data import.
