Add Medicare claimants

A claimant is someone who claims a patient Medicare rebate on behalf of the patient, such as a parent, spouse or guardian. A patient may also have multiple Medicare claimants, such as parents who alternate claiming. By adding claimant details to the patient's Medicare claim, the claimant receives the rebate instead of the patient.

Note

Don't forget to verify the claimant Medicare details after adding them. This ensures that rebates are paid as soon as possible.

Add a Medicare claimant for a patient

  1. Open the patient profile and click the Funding tab.

  2. Under the Claim & Referrals section, expand the Medicare tab, next to the patient's Medicare number, click the Icon-Edit.svg edit icon.

  3. In the pop-up, click Add Claimant and enter the claimant's details.

  4. Click Save.

The claimant's details appear on all the patient's invoices and appointments that have Medicare fees. When you process Medicare claims, the rebate goes to the claimant.

To delete or archive a claimant, select the Icon-Bin.svg trash icon next to the claimant's Medicare details.

Add another Medicare claimant

Each Medicare claim allows only one claimant. If you need to add a second claimant (such as for another parent), you can add a second Medicare claim using the same patient details but with a different claimant. This allows you to switch between multiple claims for appointments and invoices.

To add a second claimant, follow the steps below.

  1. Open the patient profile and click the Funding tab.

  2. At the top right, click New Claim.

  3. For Funder, enter Medicare and select it from the list. Click Next.

  4. Enter the patient's Medicare details. Click Add Claimant, then enter the new claimant's Medicare details.

  5. Click Next.

The patient now has two Medicare claims. The original claim is automatically archived, so you must unarchive it so you can have the two active claims.

Note

Do you have one referral but two claims? Add the referral to only one of the claims. You can then switch between the claims once you've created the appointment. Since the referral is under the same funder, Halaxy can retain the referral information - such as expiry date and appointment limits - across multiple claims.

Switch between multiple Medicare claims

If you have a patient with two Medicare claimants, you can switch between them for appointments in these two areas:

    1. Open the appointment.

    2. Next to the patient's Medicare card number (not the claimant's), click the Icon-Edit.svg edit icon.

    3. In the pop-up, for Existing Claims, select the claim with the claimant you want.

    4. Click Save.

    1. Open the invoice.

    2. Next to the patient's Medicare card number (not the claimant's), click the Icon-Edit.svg edit icon.
