The patient portal is an online hub linked to your Halaxy account that allows your patients to enter their personal details and funding information directly into their patient profile in your Halaxy.

Because the data entry is done by patients outside of appointments, you save time and can effortlessly record your patients' details and payment information, and your patients can pay you easily online.

You can also use the patient portal to share select parts of a patient's health record with them and assign clinical tools for the patient to complete online, which will automatically update their record in your Halaxy,

You can invite patients to their patient portal on their patient profile. Once you have invited a patient to a patient portal, they can:

  • view and track their appointments (if you take online bookings)

  • view and pay their invoices

  • store their credit card details securely so you can process payments (including cancellation fees) with hassle

  • enter and update their profile information, emergency contacts and social history information in their patient profile in your Halaxy

  • upload referrals, letters and other documents to their file

  • view parts of their clinical record that you elect to share with them

  • link a health-tracking device to Halaxy and share the data with you

  • track their health over time

Patients can also share information with family members by inviting them to access their patient portal and setting an appropriate level of access for them.

Note

This section of the Halaxy Guide is aimed at practitioners and is designed to describe the patient portal to practitioners. It is not designed to provide instructions to health consumers and patients about how to use their patient portals.

Patient portal settings

To enable the patient portal and configure your settings:

  1. Click Settings > General.

  2. Click Edit on the Patient Portal section header.

  3. Set your preferences as desired:

    • Patient Invite:

      • Disabled: You cannot invite patients to create their own patient portal

      • Enabled: You can invite patients to create their own patient portal

    • Patients' updates:

      • Disabled: Updates made by the patient in their patient portal are not imported into your Halaxy

      • Notify: Updates made by the patient in their patient portal are imported into their patient profile in your Halaxy, and you are notified

      • Update automatically: Updates made by the patient in their patient portal are imported into their patient profile in your Halaxy, but you are not notified

    • Note Sharing:

      • Disabled: You cannot share clinical notes with other practitioners in your practice

      • Enabled: You can share clinical notes with other practitioners in your practice

  4. Click Save.

Creating a list of a patient's practitioners

Patients who have a Halaxy account can search for their practitioners using parameters such as languages spoken, services available, availability of home visits and/or wheelchair access. They can also save practitioners' profiles to their Practitioners List, which enables them to create a list of their care team - i.e. practitioners of all professions that they currently see and practitioners that want to see for treatment.

Booking appointments online

Patients can book online with practitioners who use Halaxy and have enabled online bookings without needing to enter their information, as this is automatically entered into the booking request for them.

Tracking and paying for appointments and invoices

Patients with a Halaxy account can access their Appointments List and Invoices List to help them keep track of their appointments and invoices. This means patients can access a specific invoice or confirm the exact date of an appointment without needing to bother you for the information, saving you time and effort.

A patient's Appointments List and Invoices Lists look similar to your own. Their list show their appointments and invoices with you as well as with other practitioners who use Halaxy (and who enable patient portal access for their patients).

Where available, patients are also able to pay for their appointments via their Patient Portal by selecting the invoice linked to the appointment. The process is similar to electronic payments processing for practitioners. This gives you further payment options in your practice.

Tracking patient health

Patients can link a health-tracking device to their Halaxy account. They can then share this information with you and other practitioners.

You can also assign clinical tools to a patient to complete to track their health between appointments, or patients can access these tools independently. These tools can include episodic measures, such as K10 and DASS21 assessment forms, and ongoing tools, such as food and exercise diaries, mood trackers and medication management tools. Once the patient completes and saves the tool, it is saved to their patient record in your Halaxy.

Using these options, patients can take charge of their health and can share tools and records within their care team. For example, dietitians may assign their clients 'homework' to track their food intake in a food diary between appointments, and patients can share their food diaries with practitioners electronically before their next appointment for you to assess and review.

Setting and managing their access levels

On the Accesses page (Profile > Accesses), patients can reset their password and sync their Halaxy calendar with other iCal-enabled calendars (these functions operate in a similar way to practitioners' resetting passwords and calendar syncing functions).

Importantly, patients can determine who can access their own patient portal (i.e. who can see their appointments, invoices and health details) and also request access to other patients' portals.

Managing their profile and settings

Patients can add their own information to their patient portal including their name, date of birth, gender and email as well as their address and phone numbers and emergency contact (which is similar to the information recorded on the General page of their patient profile in your software).

They are also able to set and change their timezone and date and time formats (which is similar to your Settings page).

Coviu online video consultations

Halaxy integrates with Coviu so you can see and treat your patients online, as well as face to face. After you sign up to Coviu for a team account, you can integrate your Coviu account and your Halaxy on the Settings page. When you make an appointment and select that an appointment is an online consultation in the Location drop-down menu, you can click the Online Consultation link to enter the Coviu appointment session. You can email the patient the link to the Coviu appointment session if the patient's email address is listed on the General page of their profile. Halaxy can process patient appointment fee payments automatically at the time of the appointment, create invoices automatically and send reminders for online consultations in the same way as for traditional appointments.
