The AI Practice Assistant is designed to help you work more efficiently in Halaxy by giving you instant access to key information and actions through a simple chat interface. Instead of manually navigating between different areas of Halaxy, you can ask the assistant direct questions and receive answers within seconds.
The practice assistant opens as a panel alongside your current screen, recognising the current page you are viewing, allowing it to provide relevant help and context-specific information when needed so you can continue working while quickly checking appointments, reviewing availability, identifying overdue invoices, or getting guidance on how to use specific pages.
The Practice Assistant is available within Halaxy at no additional cost, allowing you to start using it straight away.

This makes it easier to stay organised, respond to patient needs, and manage your practice more effectively throughout the day.
The practice assistant is connected to Halaxy's Help Guide by default. To change this, see Manage AI Practice Assistant access.

On the top-right of any page, click the
magic wand icon.

In the chat panel, enter your question or query to begin chatting.
Alternatively, click the question mark button and select from the list of sample questions to ask.
From here, the practice assistant will answer your questions that are relevant to your Halaxy account. You can refer to some of the common tasks below. The practice assistant will adjust its responses based on the page you are viewing in Halaxy.
Important
By default, the practice assistant is connected to the Halaxy's Help Guide only. To allow it to answer based on your practice data, see Manage AI Practice Assistant access section below.
Below is a list of some of the tasks that the practice assistant can help you with:

View appointments: Ask the practice assistant to "list today's appointments" or "show appointments tomorrow". The assistant will reply with a list of matching appointments with a link to the appointment or an appointment report, ready to be saved.

View availability: Ask the practice assistant to "show availability today" or "what times am I free this week?" The assistant will reply with available time slots based on your calendar with a link to your calendar.

View invoices: Ask the practice assistant to "list overdue invoices" or "which invoices are unpaid?" The assistant will reply with a count of overdue unpaid invoices and a link to the report, ready to be saved.

View tasks: Ask the practice assistant to "list outstanding tasks." The assistant will reply with a count of overdue tasks and a link to the task list, ready to be actioned.

Learn more about the current page: You can ask the practice assistant about the current page you are in. The assistant will reply with information on the current page and a link to the Halaxy Help Guide.
Tip
To refine your results, enter additional details to narrow your request. For example, for dates, specify "this week" or "19 June", or specify practitioner names.
The account owner can control what information and features the AI Practice Assistant can access.

Click Settings > General.

Under the AI Settings section, click the
pencil icon next to Practice Assistant.

In the pop-up, select what access to give to your practice assistant:

Do not connect to practice data: Select to only allow users to ask questions based on Halaxy's Help Guides.

Account owners only: Select to allow account owners to ask questions about your practice data. Non-account owners will only receive answers based on Halaxy's Help Guides.

Account owners and full access: Select to allow account owners and full access users to ask questions about your practice data. All other users will only receive answers based on Halaxy's Help Guides.

All users: Select to allow all users to ask questions about the practice data. (Note: This setting does not change access levels. The practice assistant only shows information each user already has permission to view.)

Click Save.
Important
The practice assistant only works within each user’s existing permissions and cannot access or show any data beyond what that user is authorised to see.
The Halaxy Practice Assistant is included at no additional cost, making it easy to start using it as part of your daily workflow.
All users will have access to the practice assistant. Simply click on the magic wand icon on the top-right to start using the practice assistant. You can limit who can ask the practice assistant information about your practice by configuring your AI Settings. See the Manage AI Practice Assistant access section.
The practice assistant mirrors your exact Halaxy access levels. If a user doesn't have permission to view finances or certain records on the main platform, the practice assistant won't show them either. Account owners can also restrict the assistant to Help centre only questions. See the Manage AI Practice Assistant access section.
Results may vary depending on your account's access level. Your account may not have access to the full practice data. Otherwise, it could also depend on how your request is entered. Try including more specific details such as dates, practitioner names, or timeframes to refine your results.
Yes. The AI never reads your patient files or database. It only analyses the text of your question to understand what you want, while Halaxy’s secure code fetches the data using your existing permissions. Conversations are completely private to your individual login.
All data provided is live and queried in real-time. However, the AI in the practice assistant is a navigation aid, not the system of record itself. You must always verify financial or clinical details in the linked underlying report before taking action.
