Suggested Actions are AI-generated, step-by-step recommendations that appear after a file is summarised. They guide you through the next logical actions, such as creating or linking a patient, claim, or referral, using information extracted from the file to reduce manual entry.

Suggested Actions appear after a file summary is generated in:

  • Fax messages

  • Clinical note attachments

Suggested Actions follow a fixed, sequential workflow. Each action must be completed before the next one becomes available, and steps cannot be skipped.

This workflow typically includes:

  1. Create or link patient (fax messages only)

  2. Create or link claim

  3. Create or link referral

Once a step is completed, the next Suggested Action will be available.

When you click a suggested action, you will be prompted to create a new record or link to an existing record if there is a possible match. A form will automatically be populated with the information extracted from the summary, which you can review or make changes before applying the action.

Complete tasks using Suggested Actions

Below is a list of possible suggested action. Expand each item to see the steps.

  • Create or link patient

    Creating or linking a patient is only possible from file summaries of attachments in fax messages.

    1. Generate a file summary from a file within a fax message.

    2. Click Create Patient.

    3. For the patient record, select New Patient to create a new patient record or Existing Patient if the patient already exists in your Halaxy.

      If the AI finds a possible matching patient in your Halaxy, you can select the patient record under Possible matches. If no match is found, you can click search manually to manually find the patient record.

    4. Fill in the fields with the patient's details.

      The fields will be prefilled with information extracted from the AI file summary. You can edit the fields as necessary. When you do, click Use this to switch back to the AI extract.

    5. Click Confirm.

    You have successfully created or linked a patient record.

  • Create or link claim

    Creating or linking a patient is possible from file summaries of files uploaded in the patient's clinical notes.

    1. Generate a file summary from a file in the patient's clinical notes.

    2. Click Create Claim.

    3. In the pop-up, fill in the required fields with the patient's claim details.

      The fields will be prefilled with information extracted from the AI file summary. You can edit the fields as necessary. When you do, click Use this to switch back to the AI extract.

      If a claim already exists, you can link to an existing claim instead. Under the Possible matches, select the matching claim in the list.

    4. Click Confirm.

    You have successfully created or linked a claim record for the patient.

  • Create or link referral

    After creating or linking the file to a claim, you may be suggested to create a referral.

    1. Click Create Referral.

    2. In the pop-up, fill in the fields with the referral details.

      The fields will be prefilled with information extracted from the AI file summary. You can edit the fields as necessary. When you do, click Use this to switch back to the AI extract.

    3. Click Confirm.

    You have successfully created a referral for the patient.

Tip

If a field is prefilled with AI file summary extract, the confidence level shows how certain the AI is that the information is correct. “High” means the data is very likely accurate, but it’s still good practice to quickly review it before confirming.
