Use AI Scribe for Halaxy Telehealth

Who can do this?

Halaxy AI Scribe helps practitioners focus on care, not note‑taking. It automatically transcribes your consultations and seamlessly links the transcription to the appointment notes in Halaxy, saving you valuable time and eliminating administrative effort. Halaxy AI Scribe can be used during telehealth video and phone consultations, making it easy to capture accurate records without disrupting your workflow.

Best of all, AI Scribe is completely free for all users who use Halaxy Telehealth.

Enable AI Scribe for video consultations

AI Scribe can be enabled directly within a Halaxy Telehealth video consultation.

  1. Open the patient’s appointment and start the video consultation.

  2. On the left, click the Transcribe tab.

  3. Review the transcription terms, then click Accept.

  4. Continue with the consultation as normal.

  5. When you are finished, click the Icon-Disconnect.svg red phone icon to end the call.

Halaxy AI Scribe will transcribe the consultation in real time; no audio recordings are stored.

Note

The transcription is automatically saved to the appointment notes in the patient's clinical notes page, where you can also create a summary using AI.

Enable AI Scribe for phone consultations

AI Scribe can also be used for phone calls within Halaxy provided that you are subscribed to a dedicated phone number.

  • Clinical calls

    For telehealth consultations via phone calls, the call must be started from the appointment note.

    1. Open the appointment.

    2. Click on Notes to navigate to the appointment note.

    3. Next to Location, click on the Icon-Phone.svg phone icon.

    4. In the pop-up, tick Transcribe phone call to enable transcription.

    5. Click the phone button to begin the session.

    6. When you're finished, click the Icon-Disconnect.svg red phone icon to end your call.

    Halaxy AI Scribe will transcribe the phone call in real time; no audio recordings are stored.

  • Admin calls

    Any other phone calls that are started from the calendar or patient profile are considered admin calls.

    1. Open the patient profile or contact profile.

    2. Open the calendar appointment or the patient profile.

    3. Next to the patient's phone number, click the Icon-Phone.svg phone icon.

    4. In the pop-up, tick Transcribe phone call to enable transcription.

    6. When you're finished, click the Icon-Disconnect.svg red phone icon to end your call.

    Halaxy AI Scribe will transcribe the phone call in real time; no audio recordings are stored.

    Note

    The transcription is automatically saved to the patient's call history within their profile, where you can also generate a summary using AI.

View and summarise transcriptions

After ending your video or phone telehealth sessions, your transcription will be saved within the patient's profile. There, you can also create a summary of your session.

  • Halaxy Telehealth video and phone consultations (clinical calls)

    1. Navigate to the patient's Clinical Notes page and open the appointment note.

    2. On the bottom-right, click the transcription to open the AI Scribe widget.

    3. Click the Summary Note tab, and the default AI summary template will summarise your transcription.

    4. Select another template from the dropdown, then click Regenerate Summary to create a new summary.

    5. To transfer the summary contents to your clinical note, click Save to Note. (Note: next to Save to Note, you can also click Export summary to new note so that the summary will be created as a new note under the original note.)

  • Admin calls

    Transcriptions made through admin calls can be found in the patient's contact history.

    1. Open the patient profile.

    2. Under the Contact Details section, click the Icon-Bubbles.svg speech bubbles icon to open the message history.

    3. In the pop-up, click the Phone Calls tab. A list of all phone calls made to the patient will be listed here, including clinical calls and admin calls.

    4. On the left of the admin calls in the list, click the arrow button to collapse the row and view the transcription.

      Note

      For clinical calls in the list, under Actions, you can click View Note to navigate to its relevant appointment note.

    5. Click Summarise with AI.

    6. In the pop-up, select an AI template, then click Summarise. In a few seconds, a summary will be generated and saved in this transcription.

    7. (Optional) At the bottom of the AI-generated summary, click on the drop-down and select an AI template from your list. Then, click Re-summarise to regenerate the summary using the selected template.

    8. (Optional) Click on the Icon-Edit.svg pencil icon to manually edit the summary's text or the Icon-Bin.svg bin icon to delete the summary entirely.

    Note

    If you manually edit the AI-generated summary and save, you will be able to click on See original AI summary at the top of the summary.
