Halaxy lets you set time zones to match current geographic locations for your practice group, locations, and individual patients. This is also helpful when practitioners and patients are in different time zones, because appointments can be shown in the practitioners’ and patients’ own time zones, which avoids confusion.
With your time zones set, you can stay on top of any time zone differences with patients and keep your appointments on time.
On Halaxy, you can set the following time zones:

Practice group time zone: Your default time zone. This is used to display your calendar, practice hours and appointments throughout Halaxy.

Location time zones and patient time zones: These are used only for appointment reminders sent to patients. If the patient’s time zone is different to the location’s, the appointment time is shown in the patient’s time zone in the reminder.
Whenever there is a difference in time zones, this is shown on the Appointment Information panel when you click an appointment in the Calendar.
You can also quickly see a patient's time zone by hovering over the timestamp in the calendar. Hover over the tooltip for each time zone to see which patients belong in that time zone.
Your practice group's time zone is used to display your calendar, your practice hours and your appointments.
To set your practice group's time zone, follow the steps below.

Click Settings > General.

Under the Group Settings section, click Edit.

For Time Zone, select your practice group's time zone.

Click Save.
Your location’s time zone only affects reminders where the patient’s time zone is different to the location’s time zone. Reminders display appointment times in the patient’s time zone.
To set the time zone for a location, follow the steps below.

Click Personal > Locations.

For the relevant location, click Edit.

For Time Zone, select your location's time zone. In the time zone field, select a time zone for the clinic. (Note: If this differs from the practice group's time zone, a warning displayed.)

Click Save.
A patient’s time zone only affects reminders where the patient’s time zone is different to the location’s time zone. Reminders display appointment times in the patient’s time zone.
To set a time zone for a patient, follow the steps below.

Open the patient's profile.

In the top right, click Edit.

Under the Address section, for Time Zone, select the patient's time zone.

Click Save.
For online bookings, patients can select a time zone to display appointment times.
If the selected time zone is different to the location’s time zone, the appointment reminder and booking confirmation displays the patient’s selected time zone alongside the location’s time zone.

Note
Selecting a time zone for online bookings applies only to that particular booking and does not affect future appointments or the patient’s time zone in their patient profile.
