Manage gender diversity settings

By default, Halaxy allows you to record gender identity across profile records. If needed, you can also enable and set additional gender-related fields, namely:

  • Sex assigned at birth

  • Legal sex

  • Pronouns*

  • Additional gender identity terms*

*Includes ability to add your own options

These additional fields and terms appear on patient profiles, patient intake forms, practitioner/administrator profiles and professional contact profiles. Gender-related fields also appear on patient reports, allowing you to filter reports for each of these fields.

Profiles also include a Preferred Name field, which is used everywhere in Halaxy, except on invoices, which uses the legal name (the name entered in the First Name field).

Tip

Gender and pronouns appear in the Appointment Information panel so you can easily check a patient’s pronouns before an appointment.

Enabling additional gender-related fields

  1. Click Settings > General.

  2. Under the Group Settings section, next to Enable additional gender-related fields, click the Icon-Edit.svg pencil icon.

  3. In the pop-up, select Enabled for the fields you would like to record in Halaxy profiles. The field options include:

    • Sex assigned at birth: The sex assigned to an infant (male or female), most often based on anatomical and other biological characteristics.

    • Legal sex: A person's sex recognised under the law.

    • Pronouns: The term used to refer to a person.

  4. Click Save.

The fields you enabled are now available in Halaxy. You may also manage selections for these fields, which is explained in the sections below.

Manage gender identity terms

You can add and remove gender identity terms to be used throughout your practice group. Active terms are listed as available options in Gender and Legal Sex (if enabled) fields on patient profiles and patient intake forms.

  1. Click Settings > General.

  2. Under the Group Settings section, next to Gender identity terms, click View All.

  3. In the pop-up, tick the Active checkbox for the terms you want to include as available options.

  4. (Optional) On the right column, add your own gender identity terms and tick their checkbox to mark them Active.

  5. Click Save.

Manage pronouns

You can add and remove pronoun options to be used throughout your practice group. Active pronouns are listed as available options in the Pronoun field on patient profiles and patient intake forms.

Before proceeding, make sure to enable Pronouns as an additional gender-related field first.

  1. Click Settings > General.

  2. Under the Group Settings section, next to Pronouns, click View All.

  3. In the pop-up, tick the Active checkbox for the pronouns you want to include as available options.

  4. (Optional) On the right column, add your own pronouns and tick their checkbox to mark them Active.

  5. Click Save.

Tip

You can display your pronouns on invoices by setting them to show in your invoice template preferences.

Preferred name vs legal name

Halaxy displays a patient's preferred name everywhere except on invoices.

When using dynamic terms for clinical notes, clinical note templates or communication templates:

  • [Patient First Name] and [Patient Full Name] uses the preferred name.

  • [Patient Legal First Name] and [Patient Legal Full Name] uses the legal name.
