Manage notifications and inbound messages

By default, Halaxy sends you in-app notifications and inbound messages at the top of every screen. You can click the icons at the top of the screen to view these notifications and inbound messages.

The Inbound Messages (speech bubble) icon shows you recently received communications from patients and professional contacts, including fax messages, secure messages, patient SMS messages and patient responses to two-way SMS reminders.

The Notifications (bell) icon shows you system updates from Halaxy, including updates about appointments, patient intake forms, invoice payments, tasks you have due, and Halaxy system messages.

You can configure which messages you see in your Notifications and Inbound Messages, as well as whether you receive notifications in-app, via email or via SMS. This allows you to disable notifications you don't want to receive or don't want certain users in your group to receive, or you can configure important notifications to be sent via SMS so you don't miss them.

Each notification or inbound message can be archived to move them to the past Notifications List. From there, you can also see the status of each notification and which user in your practice group archived a notification.

Note

SMS notifications cost 1 credit per 160 characters. They are suitable for particularly important notifications so you don't miss them.

Viewing past notifications

The Halaxy Notifications List lets you view the past three months of notifications. Any notifications you have archived will appear here.

You can access the Notifications List by clicking the Notifications icon, then clicking the three dots in the popover and clicking See all notifications:

You can also access the Notifications List by clicking Settings > Notifications to jump straight to the Delivery Settings tab, then clicking the Notifications tab.

Click any notification to see more details, including links to the relevant patient profile or appointment.

You can also hover your cursor over the Status of an archived notification to see when the notification was archived and which user in your group archived it:

You can sort the Notifications List by clicking the column headers. You can search and filter the Notifications List by hovering your cursor over a column header, then clicking the icon in the top-right.

Changing the group default notification settings

Practitioners with Full Access and administrators of any access level can customise the default notification settings for their group, as well as individual notification settings for each user in their group. Practitioners with lower access levels can only edit their own notification settings.

To edit the default notification settings for your group:

  1. Click Settings > Notifications.

  2. Ensure the Delivery Settings tab is selected and find the card that shows your practice group name followed by "(Group Level)".

  3. Click the Edit icon for the notification types you wish to make changes for.

  4. In the pop-up, select when users should receive this this notification type:

    • Own patients and records only: Users receive this notification type only where it relates to their own patients and records

    • All patients and records that the user has access to: Users receive this notification type for all users' patients and records that they have access to

    • Do not send this notification type: Users do not receive this notification type

  5. In the Delivery Method section, tick the checkboxes for how you want to receive notifications:

    • SMS: Notifications are sent to the user's primary mobile phone number listed on the Locations page. Please note that SMS notifications cost 1 credit per 160 characters. If an SMS cannot be sent, an email will be set to the email address used to log in to Halaxy instead.

    • Email: Notifications are sent to the email address you use to log in to Halaxy (note that this can be different to your contact email address)

    • In-App: Notifications are displayed in the control panel at the top-right of every screen in Halaxy

  6. Click Submit.

RESULT: Any users that do not have individual notification settings will use these settings.

Adding individual user's notification settings

You can add notification settings for an individual user that will override the group default settings for that user. To do so:

  1. Click Settings > Notifications.

  2. Ensure the Delivery Settings tab is selected and click Add New Level at the top-right of the page. If you have Full Access, you can select which user you want to set individual notification settings for.

  3. An alert appears showing that you have successfully added an individual user's notification settings, and a new card appears with the individual user's name as the title. Click the Expand (+) icon next to this card, then click the Edit icon for the notification types you wish to make changes.

  4. In the pop-up, select when the user should receive this this notification type:

    • Own patients and records only: The user receives this notification type only where it relates to their own patients and records

    • All users patients and records: The user receives this notification type for all users' patients and records that they have access to

    • Do not send this notification type: The user does not receive this notification type

  5. In the Delivery Method section, tick the checkboxes for how you want to receive notifications:

  6. Click Submit.

RESULT: This user will use their individual settings instead of the group default settings. To make the user use the default group settings instead, click Delete at the top-right of their card.
