Linking Fees to Referral Types


Referral Types can be linked to fees so that whenever you create an appointment with a linked fee, the patient's corresponding referral is automatically added to the appointment and the appointment limit is automatically incremented.

This makes the referral process almost completely automatic. All you have to do is add the linked fee to an appointment, and the patient's referral information will automatically appear:

If the patient does not have a referral for the linked fee, you can add one easily just by clicking Add Referral in the Appointment Information section:


How to link a fee to a Referral Type

To link a fee to a Referral Type:

  1. Click Finances > Fees, then click the Referral Types tab. The Referral Types list appears.

  2. From the list, click the Referral Type you want to link to a fee. The Edit Referral Type screen appears.

  3. In the Fees section, click Add Fee (or Edit Fee if a Fee has already been linked).

  4. The Link Fees To Referral Type pop-up appears. Click the Fees field and select the fee you wish to link. You can link additional fees by repeating this step.

  5. Click Save.

RESULT: Whenever you create an appointment for a patient using the linked fee, Halaxy will add the patient's referral automatically and increment the appointment limit.

Managing multiple referrals under the same claim

If a patient has multiple referrals under the same claim and you create an appointment using a fee linked to a Referral Type, Halaxy will automatically use the most recently added referral with that Referral Type.

You can easily manage multiple referrals under the same claim by:

  • Creating different fees and linking them to different Referral Types. This also allows you to track different appointment limits under different referrals (or even under the same referral) by using different fees and Referral Types. For example, if a referral entitles a patient to 10 group sessions and 10 individual sessions, you can add the referral twice using the same details but using two different Referral Types, one linked to individual fees and one linked to group fees. This will allow you to track the appointment limits separately.

  • Changing which referral is used for the appointment from the Calendar

  • Removing the referral from the invoice

Changing which referral is used for an appointment

You can change which referral is used for an appointment by following the steps below:

  1. From the Calendar, click the appointment. The Appointment Information appears on the right.

  2. In the Claim section of Appointment Information, click the Edit (pencil) icon next to the referral:

  3. The Edit Referral Pop-up appears. In the Referral drop-down list, select the correct referral:

  4. Click Submit.

Removing a referral from an invoice or appointment

To remove a referral from an invoice (and also any linked appointments):

  1. Navigate to the invoice.

  2. In the Patient Details section, click the Delete icon next to the Referral and click Unassign.

RESULT: The referral is removed from the invoice, and associated appointments will not be counted against the patient's referral or claim information.
