Dynamic Terms

Dynamic terms are a time-saving feature in Halaxy that allows you to automatically populate data such as a patient's name, the referring GP or the date and time of an appointment. This allows you to use the same templates for clinical notes (such as letters), appointment reminders, and email and SMS communication templates. You can also use dynamic terms in fax cover sheets.

Dynamic terms automatically convert to actual data when you publish a clinical note or send an email, fax or SMS, including for appointment reminders.

In Halaxy, dynamic terms are indicated by square brackets. For example, [Patient First Name] automatically converts to the patient's first name (or preferred name if available) when you publish a clinical note.

Tip

If the patient has a preferred name listed on their patient profile, the dynamic terms [Patient First Name] and [Patient Full Name] use the preferred name instead of the first name. To use the first name, you can use the dynamic terms [Patient Legal First Name] and [Patient Full Legal Name].

How to use dynamic terms in clinical notes, fax cover sheets, email templates and email reminders

To use dynamic terms in a clinical note, email communication template, email reminder or fax cover sheet:

  1. Place your cursor where you would like to use the dynamic term in your template.

  2. Click Dynamic Terms in the control panel above the box containing the contents of your clinical note.

  3. Search for the dynamic term you want using the search bar or scroll bar, then click the term you want.

RESULT: The dynamic term appears where you placed the cursor. When you preview or publish the note or send the email/fax, the term will convert to real data.

Note

Dynamic terms related to referrals or appointments are not compatible with communication templates, as they cannot be sure of which referral or appointment to link to.

How to use dynamic terms in SMS templates and reminders

The user edits an SMS Communication Template and clicks a Dynamic Term to add it.

To use dynamic terms in SMS templates or SMS reminders:

  1. Place your cursor where you would like to use the dynamic term in your template.

  2. The possible dynamic terms are shown on the right-hand side of your screen. Click the dynamic term you want to use.

RESULT: The dynamic term appears where you placed the cursor. When you preview or send the SMS, the term will convert to real data.
