How do I add a product to an invoice?

Products allow you to manage your stock and inventory within Halaxy and can be linked to fees. Adding the fee to an invoice allows you to sell your products to patients and automatically subtracts the quantity sold from your inventory.

You can access your stock and inventory management by clicking Finances, then Fees, then clicking the Products tab.

If you have already created the product, you need to link it to a fee and then add the fee to an invoice.

If you haven't yet created the product, you will need to do this first, before linking the product to a fee and adding the fee to an invoice.

Creating a product

Creating a product in Halaxy allows you to keep track of your inventory and link the product to a fee, which serves as the product price.

There are several ways you can create a product in Halaxy.

To create a product from the Products tab

  1. Click Finances > Fees, then click the Product tab.

  2. Click Add Product.

  3. Enter the product Name, Code, unit Cost, Tax and Opening Stock (Balance) for the product. By entering the quantity, Halaxy keeps a record of your inventory.

  4. Click Save.

Once you have created your product this way, you can then create a new fee and link your product to it. Alternatively you can create the product and the new fee at the same time.

To create a product directly within a new fee

  1. Click Finances > Fees.

  2. Click New Fee.

  3. In the Funder field, select "Private (Private)" from the drop-down menu.

  4. Enter the Fee Name (this will be displayed on the invoice).

  5. Select Item as the Fee Type.

  6. In the Product field, enter the product name and select to add it as a new product.

  7. The Add Product pop-up appears. Enter the Code, unit Cost, Tax and Opening Stock (Balance) for the product. By entering the quantity, Halaxy keeps a record of your inventory.

  8. Click Submit.

  9. Complete the rest of the information on the Fee Details page including the Amount the product costs and click Save Fee when finished.

Now that your product and fee are linked, you can add the fee to an invoice to charge for the product.

To create a product when you add the fee to an invoice

  1. In the Fees & Charges section on the invoice, click Add Fee or Add Another Fee.

  2. The Add Invoice Line pop-up appears. In the Fee Name field, enter the product name and select to add it as a new fee.

  3. The Add new fee pop-up appears. In the Funder field, select "Private (Private)" from the drop-down menu.

  4. Ensure you select that it is an Item and add all the relevant information such as the amount you wish to charge for it.

  5. In the Product field, enter the product name and select to add it as a new product

  6. The Add Product pop-up appears. Enter the Code, unit Cost, Tax and Opening Stock (Balance) for the product. By entering the quantity, Halaxy keeps a record of your inventory.

  7. Click Submit to return to the Add New Fee pop-up.

  8. Click Add Fee to return to the Add Invoice Line pop-up.

  9. Enter the quantity if more than one is purchased.

  10. Click Save.

If the product is already created

If you have already created your product, you can follow the steps above to link it to a fee on the Fees page, or when adding a fee to an invoice.

Adding the product fee to an invoice will automatically subtract the quantity sold from your inventory.
