Recurring/Repeating Appointments

You can create any patient and personal appointment as a recurring or repeating appointment that repeats at a specified schedule.

To make a recurring appointment, create an appointment as usual, then click Repeat Appointment in the Appointment Details section. The Appointment Details section will expand to reveal more options:

You can set appointments to repeat a specific number of times or after a specific end date. You will be shown a summary of how often the appointment repeats:

You can also specify that an appointment only repeats on certain days of the week:

Editing recurring appointments

To edit a recurring appointment:

  1. Click the appointment in your calendar, then click the Edit (pencil) icon:

  2. Make changes as required, then click Save.

  3. A pop-up appears giving you the option to edit just this appointment, this appointment and any follow appointments, or all appointments in the series (including previous appointments). Select the desired option and click Submit.

Deleting or cancelling recurring appointments

To delete or cancel a recurring appointment:

  1. Click the appointment in your calendar, then click the Cancel Appointment (X) icon:

  2. The Cancel/Delete Appointment pop-up appears. From this pop-up, you can see a summary of previous cancellations:

  3. Select from the following options:

    • Cancel appointment: Removes the appointment and reduces the invoice balance to $0, retaining a record of the appointment cancellation in your Halaxy and on the patient's profile

    • Cancel appointment and delete invoice: Removes the appointment from your calendar and deletes the invoice, but retains a record of the appointment cancellation in your Halaxy on the patient's profile

    • Non-attendance: changes the appointment status to "Did Not Attend" but keeps the invoice, allowing you to charge the appointment fee

    • Delete appointment: Deletes the appointment, invoice and linked clinical notes entirely

  4. In the Reason drop-down menu, select a cancellation reason.

  5. Select a cancellation time. Defaults to today's date and the current time.

  6. (Optional) Add comments if desired.

  7. In the Repeat Appointments section, choose whether to cancel or delete just this appointment, this appointment and following appointments, or all appointments in the series (including past appointments).

  8. Click Submit.
