Guide to clinical orders (prescription, pathology, imaging)

Who can do this?

Practitioners only (eligible professions)

Orders are clinical records that include prescriptions, pathology and imaging requests. In Halaxy, orders are creating in clinical notes linked to a patient's profile and appointments, allowing you to easily see all order records in a patient's clinical history.

Enable Prescriptions and Order Requests for a user

The Prescriptions and Order Requests access level setting is only available for eligible professions. If the user is not registered in an eligible profession, this option will not be visible.

  1. Click Settings > Users.

  2. In the same row as the user's name, click the Icon-Edit.svg pencil icon.

  3. Under the access level settings list, check the Prescriptions and Order Requests checkbox.

  4. Click Save.

The user can now create clinical orders in patient clinical notes. You can disable this setting for users anytime.

Note

Only Full Access users can edit user access settings.

Create a prescription

  1. In the patient's clinical note, click Add Order.

  2. In the pop-up, configure the following:

    • Order type: Select Prescription. (You may also duplicate an existing prescription.)

    • Ordering Practitioner: Select the practitioner requesting this clinical order.

  3. Click Create.

  4. In your new prescription order, under the List of Drugs section, click Add a drug.

  5. In the pop-up, for Prescribe as, select a drug list to search:

    • PBS/RPBS: Drugs subsidised by Medicare or DVA

    • Private: Drugs that are ineligible for subsidy and are paid for in full by the patient

    • Custom: Drugs that you have configured in Halaxy that are not available in the drug database

    • Saved: Drugs that you have added to your Saved list

  6. In the list, select a drug name and strength to add to your prescription. For PBS/RPBS drugs, you must selected the specific PBS item needed.

  7. If you are configuring your drug's details, fill out the following sections:

    • Directions for use: Complete either section A or section B. If you are filling out section A, you must complete all the fields.

    • Repeats and quantity: Repeats and dispense quantity are required fields.

    • Prescription notes: Complete as needed. Depending on the drug prescribed, some fields in this section may be mandatory.

  8. Click Save.

When you have added all the necessary drugs, your prescription is now ready to be published as a paper, electronic, or barcode prescription.

Create a pathology or imaging order

  1. In the patient's clinical note, click Add Order.

  2. In the pop-up, configure the following:

    • Order Type: Select Imaging or Pathology. (You may also duplicate from an existing or saved order.)

    • Ordering Practitioner: Select the practitioner requesting this clinical order.

    • Laboratory: Select the organisation you are requesting this order from.

  3. Click Create.

  4. In your new clinical order, under the List of Tests section, click Add Tests and add all the tests you want to order for the patient, then click Add. (You can select tests from your Saved Tests list.)

  5. (Optional) If you want to change the order details or add instructions for the specimen collection, in the top right of the note, click Edit.

Options from here include:

  • To delete a test from the order, click the Icon-X.svg X icon beside the test name.

  • To print the order, click the blue arrow and select Publish & Print. The order must be published before it can be printed.

  • After the order is published, you can click Add an Observation to add additional information. You can also click the Icon-Edit.svg pencil icon next to Result Status to add a status to the order. When the results are returned, you can update the results by clicking the Icon-Edit.svg pencil icon and selecting a status.

  • You can also attach any results that have been returned by clicking Add a File.

Caution

When you set the status to Final, you cannot add any further observations.

Tip

With a Sonic Labs integration, your order results from Sonic Healthcare lab network are automatically imported into Halaxy, where you can add them to patient clinical notes. Learn more.

Add prescriptions, imaging and pathology templates to your Favourites

Clinical Favourites display quick links to templates in a sidebar to create clinical orders in just one click.

  1. Click Settings > Clinical, then click the Favourites tab.

  2. Under the relevant practitioner, click Add Template Group.

  3. In the pop-up, configure the following: for the Name field,

    • Name: Type a name for this template group. (For example: "Clinical Orders".)

    • Order/Results: Tick the Prescription, Imaging and Pathology checkboxes.

  4. Click Save.

In the Clinical Notes screen, the template group now appears on your Favourites panel.

To use a favourite, create a new clinical note then click on a template to create an order attached to the patient's record. You can link the order to an appointment by clicking Edit and selecting the appointment.

Eligible professions for ordering prescriptions, imaging and pathology

To ensure safety in handling patient health records, only eligible practitioner professions may create orders for prescriptions, imaging and pathology. Your practice may restrict this further by changing access level settings.

Anaesthetist

A medical practitioner who administers anaesthetics.

Breast and Endocrine Surgeon

A medical practitioner who specialises in distinct surgical areas - namely breast, endocrine and general surgery.

Cardiologist

A medical practitioner who specialises in the treatment of the cardiovascular system.

Cardiothoracic Surgeon

A medical practitioner who specialises in the surgical procedures of the cardiovascular system.

Dentist

A medical practitioner who diagnoses and treats problems with teeth, gums and related parts of the mouth.

Dermatologist

A medical practitioner who treats and diagnoses conditions related to skin, hair and nails.

Ear, Nose and Throat Surgeon

A medical practitioner who diagnoses and treats disorders and diseases affecting the ear, nose, throat, head and neck.

Emergency Medicine Physician

A healthcare practitioner who diagnoses critical illness and injury, and provides safe and effective immediate care to patients affected by an acute or life-threatening injury or illness.

Endocrinologist

A medical practitioner who diagnoses and treats disorders and diseases related to the body's hormones and endocrine glands, which include the thyroid, parathyroid, pancreas, ovaries or testicles, hypothalamus, pituitary, and adrenal glands.

Gastroenterologist

A medical practitioner who diagnoses and treats diseases and conditions related to the digestive system and intestines.

General Surgeon

A medical practitioner who provides expert treatment across a broad range of emergency and planned surgical procedures to diagnose or treat a medical condition.

Geriatrician

A medical practitioner with specialist training in caring for the health of older people, diagnosing and treating age-related medical conditions.

GP (General Practitioner)

A medical practitioner who diagnoses and treats a variety of medical conditions and issues for people of all ages. A GP is often the first point of contact for anyone who feels sick or has a health concern.

Gynaecologist

A medical practitioner who diagnoses and treats infections and diseases in women's reproductive organs. Also known as an obstetrician or OBGYN, a gynaecologist also provides treatment for women relating to pregnancy, childbirth and reproductive health.

Haematologist

A medical practitioner who diagnoses, treats and manages diseases of the blood and blood-related organs, such as the bone marrow, spleen and lymphoid tissues.

Immunologist

A medical practitioner who treats health issues caused by immune system disorders.

Infectious Diseases Physician

A medical practitioner who diagnoses, investigates and treats diseases caused by bacteria, parasites, viruses and fungi.

Midwife

A healthcare professional trained to care for women during pregnancy, childbirth and postpartum.

Nephrologist

A medical practitioner who specialises in diagnosing and treating problems with kidneys.

Neurologist

A medical practitioner who specialises in the diagnosis, treatment and management of disorders of the nervous system including diseases of the brain, spinal cord, nerves and muscles.

Neurosurgeon

A medical practitioner who diagnoses and treats conditions of the brain, spine, and nervous system through surgical and nonsurgical treatments based on the type of injury or illness.

Nurse Practitioner

Registered nurses who practice independently in an advanced and clinical role, coordinate patient care and may provide primary and specialty healthcare.

Oncologist

A medical practitioner who investigates, diagnoses and treats people with cancer or suspected cancer.

Ophthalmologist

A medical practitioner who specialises in diagnosing and managing disorders of the eye and visual system.

Optometrist

A healthcare professional who provides primary vision care from sight testing and correction to the diagnosis, treatment and management of vision changes.

Oral and Maxillofacial Surgeon

A medical practitioner who treats injuries and other conditions of the mouth, teeth, jaws and face.

Orthopaedic Surgeon

A medical practitioner who specialises in diagnosing, treating, preventing and rehabilitating musculoskeletal injuries and diseases, both surgically and non-surgically.

Paediatrician

A medical practitioner who diagnoses and treats a wide range of medical conditions, illnesses and infectious diseases in infants, children and adolescents.

Pain Management Specialist

A medical practitioner who specialises in the prevention, diagnosis, treatment and rehabilitation of painful disorders.

Pharmacist

A medical professional who prepares and dispenses medication, and provides advice to both healthcare professionals and members of the public on safe usage of medication.

Plastic and Reconstructive Surgeon

A medical practitioner who performs surgery to correct facial and body abnormalities or deformities caused by birth defects, injury, disease, or aging.

Podiatrist

A medical practitioner who assesses, diagnoses, treats and manages conditions of the feet and legs.

Psychiatrist

A medical practitioner who specialises in the diagnosis, treatment and management of mental health issues and emotional problems through therapies such as counselling, cognitive behavioural therapy or medication.

Respiratory and Sleep Medicine Physician

A medical practitioner who specialises in diagnosing, treating and preventing conditions and diseases affecting the respiratory system.

Rheumatologist

A medical practitioner who specialises in diagnosing, treating and managing diseases of the joints, muscles and bones.

Sonographer

A healthcare professional who specialises in the use of ultrasonic imaging devices to produce diagnostic images, scans, videos or three-dimensional volumes of anatomy and diagnostic data.

Sports and Exercise Medicine Physician

A specialist medical practitioner with training in the diagnosis and management of musculoskeletal injuries and illnesses that result from any form of physical activity, such as sport, work or leisure.

Urologist

A medical practitioner who specialises in diagnosing and treating diseases of the urinary tract and the male reproductive system.

Vascular Surgeon

A medical practitioner who treats diseases and problems related to the vascular system through surgery, medication and medical advice.

Veterinarian

A medical professional who diagnoses, prevents and treats disease and injury affecting animals.
