Syncing your Calendar (two-way)

Two-way syncing allows you to synchronise your Halaxy calendar both ways between Halaxy and your iCloud, Google, Outlook, Exchange and Office 365 calendars.

The difference between one-way syncing and two-way syncing is that in two-way syncing, you can edit your Halaxy calendar from your external calendar and have the changes appear in Halaxy. This gives you complete freedom to add and cancel your appointments even when you're not at your computer.

When you use two-way syncing, a new Halaxy calendar (marked by the prefix "HX") will appear in your external calendar program. This calendar will contain all the appointments you make in Halaxy, and entries you make under this calendar in your external calendar program will sync across to Halaxy.

If the "Halaxy calendar" in your external calendar program is "hidden" or otherwise marked as inactive, appointments will not sync across.

Note

Appointments added to your external calendar will appear as personal appointments in your Halaxy calendar. To change them to patient appointments, you must edit them from Halaxy.

Subscribing for two-way calendar syncing

Two-way calendar syncing costs 25 credits per month. You can cancel your subscription at any time.

To enable two-way calendar syncing:

  1. Click Settings > Integrations.

  2. In the Calendar Integration section, click Buy Calendar Synchronisation.

  3. A pop-up appears advising you of the cost and your current balance. Click Purchase to enable your first 30-day block. This will renew every 30 days; you can cancel at any time.

  4. Two-way syncing is now enabled; the next step is to actually integrate your calendar with your external program. In your Settings > Integrations page, the button in the Calendar Integration section now says Add Calendar Synchronisation. Click this button.

  5. Click the calendar service you wish to sync with Halaxy and follow the prompts.

    The options for calendar syncing are listed: iCloud, Google, Office 365, Exchange and Outlook.com

RESULT: On your external calendar service, you will see a new calendar that begins with the prefix "HX_". This is your Halaxy calendar; any appointments you make or edit using this calendar will sync both ways between your external calendar and Halaxy.

Please note that it can take a few hours before you first see appointments start to sync across. Only appointments you create or edit after linking your calendar will be synced.

Note

If you wish to sync a different practitioners' calendar, another two-way sync subscription is required. Note that you can sync multiple practitioners' calendars to the same external calendar service, with each creating a separate calendar marked with the prefix "HX_".

Administrators do not have a calendar and cannot use two-way sync.

Accidental deletion protection measures for two-way syncing

Halaxy features a number of protection measures designed to prevent accidental deletion of appointments in Halaxy from your synced external calendar:

  • Appointments with linked clinical notes or an invoice will not be deleted in Halaxy if removed in your external calendar.

  • If you delete multiple appointments at once in your external calendar (for example, by deleting a series of recurring appointments, or by deleting the "Halaxy calendar" wholesale), the corresponding appointments in Halaxy may not be deleted. This is a protection measure designed to avoid inadvertent mass deletion of your appointments in Halaxy.
