Individual Practitioner Credit/Reminder Settings


If you want different practitioners in your practice to pay for credits separately, you can add individual users to your Payments page with their own Halaxy Credit Settings and separate credit card details, giving you full flexibility over who can pay for credits.

To add individual credit card details and buy credits that can only be used by an individual practitioner:

  1. Click Settings > Payments.

  2. In the Halaxy Credit Settings section, click Add New.

  3. Under "Level", select Individual, then select the practitioner from the drop-down menu whose card you want to use.

  4. Under "Auto Top Up", select whether they want credits to be automatically topped up. If so, enter the monetary value that will be used to automatically purchase credits whenever the individual practitioner goes below 10 credits.

  5. Enter the credit card details and click Submit.

  6. Next, click Buy Credits.

  7. Enter the monetary amount you wish to spend on credits. The corresponding number of credits will be listed next to it with the cost per credit (buying in bulk reduces the price of credits).

  8. Click Add.

RESULT: The practitioner will now use their own credit card and their own individual credit balance for reminders and other add-ons instead of the group credit balance wherever applicable. The practitioner will have their own individual reminder settings, separate to the group reminder settings. If the practitioner deletes their individual level for reminders, they will revert to using the group credit balance and group settings for reminders.

The next step is to go to the Reminders page and set up the practitioner's individual reminder settings when using this credit card:

  1. Click Settings > Reminders.

  2. Click the Expand (+) icon next the name of the practitioner whose credit card you just added (make sure to check the Level column to ensure that you are selecting the practitioner at the Individual level rather than the Group level).

  3. In the Preferences section, click Edit. The Reminder Settings pop-up appears.

  4. Set the practitioner's individual reminder settings and click Save.

  5. (Optional) You can also change the text of emails and SMS messages sent to patients when using this credit card by editing the appropriate fields under "Copy", on the right-hand side of the screen.

RESULT: The individual practitioner will use their own reminder settings instead of the group default settings. Any changes made at the individual level will only affect the practitioner and not the practice as a whole.
