Clinical templates for clinical notes, letters, clinical reports and clinical assessments are either preset for you from Halaxy's template library based on your profession and the fee or referral that you select when making an appointment, or you can create templates yourself. You can create templates, add attachments or link templates to fees and reports in the Templates section in your Settings > General page.
How you can use preset templates
Halaxy automatically sets up your required case notes, templates, letters and clinical reports based on your profession and the fee, funding body and (any) referral for the appointment, saving you time so you can focus on treating patients.
When you add a fee from Halaxy's global fee database with an automatically linked referral, Halaxy automatically imports the associated clinical template, relevant letter templates and associated clinical report templates. Every time you use that fee or referral, the associated templates are automatically used with all the administrative details completed so you can focus on adding your clinical notes and completing the clinical aspects of clinical reports.
How you can create your own templates
You can create your own templates in Halaxy on your Settings page: click Clinical under Settings, then click the New Template button at the top of the screen. You can access your current templates, import templates from Halaxy's library or create your own template by clicking the New Notes Template or New Tools Template links on the left side of the screen under Create New.
Importing templates from the Halaxy library
When you are in the Template library (see above), you can import a template from Halaxy's Template Library. Click the name of the template and click the Save button to import it into your own template list. You can then edit the format or words of the template to suit your own needs using the the formatting icons at the top of the text area.
If you are in a group practice, importing templates from the Templates Library makes them accessible for the whole practice group, and you can then create practitioner-specific versions of the template.
Creating your own clinical notes templates
When you are in the Template library (see above), you can create your own template by clicking New Notes Template at the top of the list. You can then type the wording for the template and format the template to your own needs in the same way that you format case notes. You can include headings, tables and lines as well as dynamic terms, which are particularly helpful for clinical reports.
Updates you make to the template are automatically saved as you make them (in the same way that changes are automatically saved in clinical notes), and you can also click the Save button at the top right of the screen.
Click the Preview icon (which looks like a magnifying glass) at the top right of the screen to preview what your template looks like with your letterhead.
Click on the name of the template in the list on the left-hand side to add files to the template and link it to funding bodies, fees and referrals.
Creating your own clinical tools
When you are in the Templates Library (see above), you can create your own tool by clicking New Tool Template towards the top of the list. You can then create questions and answers for the tool and include the information you require. You can include a range of options including multiple choice and free text answers as well as annotatable images either your own or from Halaxy's preset library, amongst many other options.
Click the Save button at the bottom of the screen to save all your changes.
Click the Preview icon (which looks like a magnifying glass) at the bottom of the screen to preview what your tool looks like with your letterhead.
Creating your own template groups
For templates that you use on a regular basis, you can group them together so that they appear by default when you open a patient’s Clinical page. These groups are similar to a “favourites” list. You can create as many groups as you need. You can create your own clinical template groups in Halaxy on your Settings page: click the Edit icon to the right of "Favourite tools and templates", and click on the practitioner the group is for. You can then click the Add a template group button. Complete the following information:
- Name: give the group an easily recognisable name if you are creating more than one group.
- Click the + Add New button and search for a template to include; repeat this for each template you require.
- Click Save.
Editing preset and created templates
To edit a template, click the Edit link on the top right of the template, and then make the word and formatting changes you need in the same way that you make changes to an individual patient record.
You can add an attachment to a template (regardless of whether you imported the template or created it yourself) by selecting the template on the Settings page and clicking the Add File button. The file is automatically accessible whenever you use the clinical template.
You can unlink the file from the template by clicking the Unlink icon, which detaches the file from the template.
Linking templates to referrals and fees
You can link a template to a referral or fee so that the template automatically appears whenever you select the fee or referral. Under Referral Types (or Fees), click the Add New button, and then start typing the name of the referral (or fee). If you have already added the referral or the fee, it appears in the list of possible referral types or fees, along with referrals or fees listed on the Halaxy global database which you can import into your own referral or fee list. If the referral or fee is not listed in your current Referral Types List or Fee List or the global database, you can add it to your Referral List or Fee List. After the referral or fee is added, the template appears whenever you select the referral or fee.
If the template is no longer applicable to the referral or fee, you can unlink it by clicking the Unlink button.
Creating practitioner-specific templates in group practices
In group practices, preset, created and imported templates are available at a group level. You can create a copy of a template for an individual practitioner to edit and customise to their own needs by clicking the Create Copy icon at the top right of the template. You can then edit the template (by clicking the Edit icon at the top right of the template), and then make the word and formatting changes you need in the same way that you make changes to an individual patient record.
